1. Payment and Booking
- An initial booking or registration requires an advance payment of $500 for the Great Himalayas Motorbike Tour and Kerala Tour, while the Everest Base Camp ride requires $900.
- Your reservation will be confirmed upon receipt of the advance amount.
2. Cancellation and Refund Policy
- If you choose to cancel your booking before the departure date:
- If any client has paid an amount beyond the booking amount, it will also be refunded as per the cancellation policy.
- Refund policies are as follows:
- Cancellation 30 days or more before departure: 50% refund of the Booking amount.
- Cancellation between 15 to 29 days before departure: 25% refund of the Booking amount.
- Cancellation within 14 days of departure: No refund.
3. Termination of Ride
- If a traveler or a group decides to quit the tour at any point other than the destination, the rider is responsible for transporting the bike to the end destination. This cost will either be paid directly by the rider or deducted from the security deposit.
4. Damage Responsibility
- Normal wear and tear, such as clutch wire, brake wire, and accelerator wire breakdown, will not incur charges.
- The customer is liable for major damages resulting from accidents or rash riding, including the cost of components like brake pads, clutch plates, lights, lamps, or any structural deformation. The customer will be fully responsible for the cost of extensive damage, calculated on a cost basis. In case of complete damage, rendering the bike inoperable, the customer must cover the difference between the new purchase cost and the insurance claim.
5. Mechanical Breakdown
- Due to the nature of the terrain, bikes may experience breakdowns. Repair times for mechanical failures may be longer than expected. In the event of an irreparable breakdown, riders will be transported in a service vehicle to the nearest ‘Big town’ where necessary repairs may be conducted.
6. Association Disputes
- If there is any issue with the Bike Rental Association, there is a possibility that you may not receive the bike as per the itinerary. In such cases, alternative travel arrangements will be made, but no claims for lost days of the bike ride will be entertained. If you choose to cancel the trip in such a situation, no refunds will be provided.
7. Code of Conduct in Force Majeure Situation
- The Tour Manager / Road Captain is vested with the authority and is considered to be right in decision-making.
- The tour manager / Road Captain reserves the right to make decisions regarding trip extension or route changes at their discretion. The captain’s judgment is final.
- The management has no control over road conditions, weather, or natural, or political forces, which can change rapidly. In such situations, the tour manager will take reactive responses to ensure the safety and well-being of the group. Non-cooperation during these times may lead to the immediate termination of the tour for those individuals, with no refunds provided. Changes in the route and final program may occur due to unforeseen circumstances. Complaints about skipping destinations will not be entertained if the decision is made to enhance the safety of the entire group. Any additional costs for transportation/accommodation arising from such extensions will be shared equally by the group and must be paid on the spot. The full amount will be forfeited in case of rider-initiated cancellations due to natural disasters or political turmoil. Traverse Adventure Tours is not responsible for missed flights, rescheduling costs, or losses in post-ride travel plans resulting from trip extensions or cancellations. In situations where it is unsafe to travel on a motorcycle (due to natural calamities or political turmoil), arrangements for four-wheelers will be made to the nearest safe location. Expenses for such arrangements will be equally shared among all riders (specifically for bikers).
8. Travel and Cancellation Insurance
- Travel Insurance is a mandatory requirement for all clients participating in a tour organized by the Company. Clients, along with their personal belongings and baggage, are entirely at their own risk throughout the tour. It is the sole responsibility of clients to arrange their own travel/cancellation insurance, as the Company does not provide such coverage. Clients must ensure that their travel insurance covers the entire duration of the tour, including medical expenses, injury, death, repatriation, cancellation, and curtailment, with comprehensive and appropriate protection. Clients are advised to check for any exclusion clauses that may limit or exclude coverage for activities included in their tour. The insurance coverage should explicitly include riding a motorcycle of the specified engine size as outlined in the tour description, both on and off-road. Clients must ensure that the purchased travel insurance meets their specific requirements and may opt for supplementary insurance if needed. At least 31 days before the tour commencement date, clients are required to provide the Company with their insurance details, including the insurance company name, policy number, policy wording, and emergency contact phone numbers. If a client chooses to travel without adequate insurance coverage, the Company will not be held liable for any losses that could have otherwise been covered by insurance.
9. Changes or Cancellation of Your Tour
- While the Company strives to operate all tours as advertised, it reserves the right to make adjustments and rectify errors in facilities, services, prices, or itineraries described in the tour brochure and/or on our website. These changes may occur at any time, either before or after your booking is confirmed.
- Most changes are minor, and in such instances, we will make reasonable efforts to inform you or your travel agent as soon as reasonably possible, provided there is sufficient time before your departure. However, the Company holds no liability for minor changes. Examples of minor changes include a switch of accommodation to another of the same or higher standard.
- On rare occasions, a significant change may be necessary. In such cases, the Company will promptly inform the client if there is sufficient time before departure.
- A significant change refers to alterations made before departure that are reasonably expected to have a major impact on your tour. Such changes may include a shift in the departure date of the tour, a change in the class of motorcycle used, or a substantial rerouting of the itinerary. It’s important to note that changes to the named accommodation booked are not considered significant changes unless expressly stated otherwise.
10. Prompt Assistance
- If, during your package tour, you encounter challenges for any reason, we will provide you with timely assistance as deemed appropriate under the circumstances. Specifically, we will furnish you with relevant information regarding health services, local authorities, consular aid, and support in distance communication, as well as help in finding alternative travel options. Should you require assistance not resulting from any lapse on our part, our employees, or subcontractors, we will not be responsible for the expenses associated with alternative travel arrangements or any other required assistance. In such situations, any supplier, airline, or other transport provider may, however, offer refreshments and/or suitable accommodation, and you should address your claim directly to them. Subject to the other provisions outlined in these Terms & Conditions, we shall not be accountable for any costs, fees, or charges incurred by you in the aforementioned circumstances if you do not obtain our prior authorization before arranging your travel alternatives. Additionally, we retain the right to impose a fee for our assistance if the difficulty is intentionally caused by you or a member of your party, or if it arises from negligence on your part or that of your party.
